How can you manage time?

WHAT IS TIME MANAGEMENT?

Time management is the process of planning and controlling how to divide your time between specific activities. It refers to managing your time in order to determine how long you are going to spend on a specific activity. It is done to increase effectiveness, efficiency and productivity. Time management makes you complete more work in lesser time. 

How can you manage time?


Procrastination, attention problems and difficulties with self-control can lead to poor time management. Poor punctuality, impatience, poorly defined goals and lack of energy are some reasons of poor time management. Saying "Yes" to everyone and doing everything by yourself can leave you with excessive workload and you end up with no work done. 

IMPORTANCE OF TIME MANAGEMENT

• Time is limited and it cannot be stored for future use. Time once gone, cannot be retrieved. 

• If you complete your work in less time, you will get more leisure time which can be used for family and other priorities. 

• It will help you to make better decisions as you can put your valuable time to important issues.

• If you manage your time wisely, it would help you to reduce stress and complete your work effectively.

• Good time management will lead you to more self-discipline and less procrastination.

• When you do work properly as per the plans and you have enough time to deliver, it will lead to increased quality of work.

• You can use your free time in getting advantages of growth opportunities around you. 

HOW TO MANAGE TIME?

Here are some tips that can help you to manage time effectively.

1. PRIORITISING THE WORK

Once you have the list of work you have to do, start prioritising the work into different groups. These can be:
• Important and Urgent
• Important but not Urgent
• Urgent but not Important
• Not Important, Not Urgent

2. LEARN TO SAY "NO"

Saying yes to everyone and everything will lead you having very much workload and end up doing nothing. Start saying "No" to things which are not important or urgent. Just say "No" without any fear of bad relations. Sometimes you need to decline opportunities. 

3. FOCUS

Just focus on what you are doing at the moment. Don't let your attention divert to some other things. Try to switch off mobile phones and minimised the mails. Close all other browser windows. Find a quiet place to work. Concentrate on the task.

4. CREATING DEADLINES

Make your own time limits and set deadlines to complete the task before the assigned time. The time limit will push you towards the work and make you focus to complete it efficiently. 

5. CREATE DAILY PLAN

Take your first 30 minutes daily to plan for what you are going to do today and in how much time. Create a list of to-do  things and assign time to each task. Stick to the plan throughout the day and you will achieve your desired results. 

6. BREAKS BETWEEN TWO TASKS

A human brain needs break. It cannot focus beyond 90 minutes at a time. Try to schedule breaks between two tasks or after every 90 minutes to maintain high productivity and avoid burnout throughout the day.
